Training Coordinator

Outspoken Training is one of the biggest providers of progressive, life-changing and fun cycle training throughout England, predominately working with local authorities and local businesses to increase cycling levels. You must be a strong communicator to act as a first point of contact for clients, schools/organisations and instructors. Through written and verbal communication, you will need to express our enthusiasm and commitment to helping more people to cycle whilst equipping customers with the knowledge to ensure services are successful.

The role is varied so candidates will need to be able to demonstrate their organisation and attention to detail skills and enjoy juggling different tasks and priorities.

Main Duties and Responsibilities

1. Cycle training programme support

Process school Bikeability bookings to ensure we meet contract targets
Liaise with businesses and individuals to book and coordinate delivery of cycle training services
Maintain records of communication and paperwork relating to all training courses
Collate feedback and information on delivery performance to ensure all customer expectations are met
Support staff by ensuring they have all necessary information and resources to run courses effectively
Report promptly to the Operations Manager

2. Office Management

Devise and maintain office systems
Organise and store paperwork, documents and computer-based information
Arranging events and booking rooms and conference facilities

3. Communications

Act as the first point of contact for enquiries
Liaise with schools/organisations and instructors to organise training courses using web-based bookings, email, telephone and our database
Adhere to the company’s communication strategy

4. Bookkeeping

Complete and send invoices on time; keep up to date with bookkeeping.
Post receipts and take payments over the phone
Support invoicing procedures

5. Other

Ensure compliance with the General Data Protection Regulations
Look for opportunities to upsell and promote other services to customers

Person Specification

1. Qualifications
Essential: Educated to A-Level or equivalent
Desirable: Educated to degree level or equivalent.
Evidence of continuing professional development.

2. Experience
Essential: High proficiency with MS Office and basic internet applications.
Experience of working effectively within a team.
Desirable: Familiarity of working in an office environment.
Demonstration of experience managing bookings.
Experience of using accounting software.

3. Communication Skills
Essential: Experienced written and verbal communicator.
Excellent inter-personal skills to liaise with instructors, schools and clients.
Ability to develop strong relationships, instilling confidence and leaving a positive impression on others.
Desirable: Ability to persuade and sell services to clients.

4. Organisational Skills
Essential:  Excellent personal organisation skills.
Capable of coordinating multiple projects.
Able to prioritise/meet deadlines as and when required.
Ability to problem solve quickly and calmly.
An ability to give attention to detail without losing the overall sense and objectives of required tasks.
Desirable: Experience of supporting staff rotas.
Familiarity with administrating needs of remote staff.

Essential:  Highly motivated to make a difference.
Desirable:  An enthusiasm for cycling!
